MY FLAT RATE PRICING GUIDE EXPERIENCE 

 

When I started my HVAC business there was very little information available about flat rate pricing from an educational stand point. Most companies were all about selling their product and not concerned about explaining how it worked. These companies wanted to work with larger HVAC contractors selling them expense software and paper books that would be updated and sent out annually for an additional cost. The small HVAC business owners like myself were left hanging  to figure it on our own. It took a couple of years of sifting through fact and faction before I decided to try flat rate pricing and then I had to find one I could afford. I probably used this pricing guide for about 2 years before I truly understood how it was suppose to work and how to mold it to work with my business. 

A flat rate pricing guide is a reference tool used to organize your routine repair and service jobs and their cost to the customer. This is the end result of how the tool should perform. You could create your flat rate pricing guide by simply making a list repairs you provide and adding a price to each one. This would work find if you are the only employee. But you still would need to do some math before you list the price for each job. You need to know about the cost of some items, employee, overhead, sales tax, and cost of parts. When you completed calculating your cost you need to add your profit and discount for your service agreement customers.

The flat rate guide I purchased was simply software on a disc and a three ring binder with a printed copy of the list of repair prices. But it did allow me to adjust the labor rate, the cost of parts, and mark up on parts. It also allowed me to print books to give to the staff. As I began using this guide I starting noticing some flaws. One of the first big ones was pricing on parts, the cost of a condenser fan motor for a Carrier and a Goodman were not the same. This meant I had to either add lot condenser fan motor repair to my guide or try averaging the cost so that the company wouldn't  lose money on any of the repairs. Not wanting the staff to have to look through hundreds condenser fan motor repairs I decided to average the cost. The next thing that came to my attention was my profits were not always great each month, even though this pricing guide was suppose to increase your profits on every job. I changed several things, labor rate, labor hours, and make up on parts, and no matter what I changed the results were always the same. I called competitors to check their prices on some repairs and my prices were about the same and sometimes even higher. 

I created my own flat rate pricing guide. The one I had purchased had taught me a lot but it could not grow into what I needed. I had been to some seminars on understanding the money side of the business and incorporated some of this into my flat rate guide. I add formulas to calculate overhead and labor cost to determine my operating cost per hour for the business. Then I added the profit formula and that gave me a true look at what my labor rate per hour should be. Combining this information with the parts formulas gave me a true pricing per job. You can look at every job and the profit percentage is always the same. Now my flat rate pricing guide easily change as my business changes. Changing the overhead cost, employee information, or profit desired will the change the complete guide in minutes, and now that it is an app all of my employees have these changes at the same time.

The flat rate pricing guide is great tool for your company. You can use it to help sell new systems by comparing repair cost vs. new system cost. It installs convince in your techs when talking to customers about repair cost. I will always use a flat rate guide.
